1. Adding Vehicle or Customer
- Click on “Add Vehicles” at the top of the screen.
- Choose from the available options to search for a motorcycle: VIN Lookup, License Plate Lookup, or Custom.
- Enter the VIN and click on the search icon (🔍).
- The fields will be auto-filled, just enter the license plate number as it is unique for every vehicle.
- Click on “New RO” in purple color.
In case of adding a customer all you have to do is enter the name and phone number as these are the mandatory fields. Check the boxes as per the requirements, and the “New RO” button will be activated.
2. Adding Jobs
There are four ways to add a job to a repair order:
- Manual Entry: Input job title, select mechanic, and add labor/parts costs.
- Pre-saved Jobs: Select common services from saved templates.
- Labor Guide: Search by job code or description in the labor time guide for quick addition.
- Quick Jobs: Use keywords to add relevant jobs instantly.
Once the job(s) are added, select the job type and mechanic name.
3. Ordering Parts
Parts can be ordered through two integrations:
- Nexpart: Search parts in Nexpart and add to the cart, then place the order if approved by the customer or return to the repair order to share the motorcycle repair estimate with the customer.
- PartsTech: Compare and add parts, then choose to buy if confirmed by the customer or submit for quote to share an estimate with the customer.
4. Customer Approval
There are two methods to get a customer approval:
- Digital Authorization: Share repair orders via SMS/email for customer approval.
- Manual Authorization: Obtain approval in person and click on “No Action” next to jobs and turn it to “Approve”.
5. Work in Progress
Once a repair order is approved, the repair work starts.
- Start, pause, and stop work as needed. Assigned motorcycle repair mechanics can manage the status of the repair by clicking the play (▶️), pause (⏸️), and stop (🛑) buttons.
